SharePoint is a capable platform, and plenty of businesses run well on it. We support it every day. But many companies adopted it as a file server replacement, and that is where its liabilities tend to show up: tangled permissions, sync headaches, and governance work that never quite gets done.
If that sounds familiar, Egnyte is worth a look. Below is where SharePoint gets hard for file-heavy teams, what Egnyte does differently, and how Trusted Cyber moves you across without disrupting your week.
Where SharePoint Gets Hard
SharePoint was built as a collaboration and intranet platform first. Using it as the company file share works, but it asks a lot of whoever runs it.
- Permissions drift. Sites, libraries, folders and sharing links each carry their own access. Over time inheritance gets broken one exception at a time, and nobody can say for sure who sees what.
- Structure sprawl. Teams, sites and OneDrive folders multiply. Files end up in several places, and users are not sure which copy is current.
- Sync friction. Large libraries and deep folder trees strain the sync client, and long file paths cause errors.
- Governance takes extra work. Retention, sensitive data discovery and audit reporting are available in Microsoft 365, but they often need higher licensing tiers and dedicated admin time to set up well.
- Ransomware recovery is not one click. Restoring a library after an attack is possible, but it usually means version-by-version or site-level restores rather than rolling the whole environment back to a clean point.
None of this makes SharePoint a bad choice. It means the true cost of running it as a file server is often higher than it looks.
What Egnyte Does Differently
Egnyte is built around files first. Your team still co-edits in Word, Excel and PowerPoint, but the files live in one governed place.
| Area | What You Get with Egnyte |
|---|---|
| File access | One folder structure across desktop, web and mobile, with Microsoft 365 co-editing. |
| Permissions | Role-based access and reports that show who can see what. |
| Ransomware | Signature, ransom-note and behavioral detection, optional auto-suspend of the affected user, and restore to a snapshot from just before the attack. |
| Governance | AI-based discovery of PII and regulated data, retention and disposal rules, and detailed audit reports. |
| Compliance | Support for SOC 2 Type 2, ISO 27001, HIPAA, CMMC 2.0, NIST 800-171, GDPR, FINRA and more. |
Some of these features depend on the Egnyte plan. We help you pick the one that fits your risk and budget.
What a Good Migration Looks Like
A good migration is mostly planning. Copying the files is the easy part.
- Discover. Inventory every site, library and OneDrive, with data volume and an owner for each.
- Design. Build a cleaner folder tree and group-based permissions, and decide what stale data to archive or leave behind.
- Pilot. Move one team first. Test access, apps and the desktop experience, then adjust.
- Migrate. Copy data in the background, then run delta syncs so nothing changed during the move is lost.
- Cut over. Run a final sync, set SharePoint to read-only, train users and stay close for the first weeks.
Your team keeps working in SharePoint until cut-over day.
A few SharePoint items need a plan of their own:
- Broken inheritance: rebuild access with groups instead of copying one-off permissions.
- Custom columns: map the fields people use to Egnyte metadata.
- Lists, pages and wikis: these are not files, so keep them in Microsoft 365, export them, or retire them.
- Long paths and unusual characters: scan and rename before the bulk copy.
- Sharing links: old links stop working, so key external shares are reissued from Egnyte.
How Trusted Cyber Helps
We run the whole move and stay on afterward, so you are not left managing a new platform alone.
- Assessment: a discovery report covering your sites, data volume, permissions and compliance needs.
- Plan and design: a folder and permission model you approve before anything moves.
- Migration: we pilot, migrate, run delta syncs and handle cut-over, usually outside business hours.
- Security setup: SSO, ransomware detection, alerting and recovery configured from day one.
- Ongoing support: we monitor alerts, manage users and help with audits through our Egnyte Advanced managed service.
Not sure whether to move at all? That is a fair question, and sometimes the answer is to clean up SharePoint instead. Either way, we will give you a straight assessment.
